Cost & Payment

Clear costs, explained before care ever starts.

No hidden fees, no surprise invoices. Every family reviews rates and payment terms with the Administrator before signing a service agreement.

Ways to Pay

Three ways families cover care.

01

Private Pay

The most common path. Billed weekly, bi-weekly, or monthly, with a fully itemized invoice for every visit — date, caregiver, hours, and rate.

  • Hourly or daily billing units
  • Check, card, or electronic transfer accepted
  • 48 hours' notice before any rate change
02

Long-Term Care Insurance

Many LTC policies cover non-medical home care. We'll help you understand your policy's daily benefit and elimination period before service starts.

  • We provide documentation your insurer requires
  • Itemized statements formatted for reimbursement claims
  • We coordinate billing details directly with you
03

Medicaid & AAA Contracts

For clients referred through DSHS or the Area Agency on Aging, Mellow Care can bill under the terms of that contract.

  • Alternate billing timelines per contract terms
  • Coordinated directly with your case manager
  • No cost surprises — contract terms set in advance
04

What Affects Your Rate

Personal care, homemaker, companion, and respite services are billed at service-specific rates set out in your Financial Agreement.

  • Rate depends on service type, not client condition
  • No fee for the initial in-home assessment
  • Cancellations under 24 hours may be billed at 50%
No Surprises Policy

What's in writing before you sign.

Financial Agreement

Every client signs a written Financial Agreement listing service rates, billing cycle, and payment terms — before service begins.

Itemized Invoices

Every invoice shows the date, service provided, caregiver, hours, and rate for that visit. Available upon request at any time.

48-Hour Notice

We provide at least 48 hours' written notice before any change to your agreed fee schedule — no mid-month surprises.

Unsure what you'll pay? Most families don't know their exact cost until we understand the hours and services needed. The in-home assessment is free and comes with a written estimate — no pressure, no obligation.
